This policy explains how the Lincolnshire Wolds Railway Society collects, uses and protects your personal information when you visit our website, contact us, buy from our shop, join the Society or make a donation.
The data controller is the Lincolnshire Wolds Railway Society, a charity registered in England (registered charity number 1155210), at Ludborough Station, Station Road, Ludborough, Lincolnshire, DN36 5SQ.
What we collect and why
When you send us a message, we collect your name, email address, phone number if you give it, and your message, so that we can reply.
When you buy from our shop, we collect your name, email address, phone number if you give it, your delivery address and what you have ordered, so that we can post your order and contact you about it.
When you join or renew your membership, we collect your title, name, address, email address, phone number, your membership number if you are renewing, the membership you have chosen and any donation you add. We use this to manage your membership and to send you ‘On the Line’.
If you tick a Gift Aid box, we keep your Gift Aid declaration and the details of the payments it covers, so that we can claim Gift Aid from HMRC.
Online payments are handled by PayPal. We do not see or store your card details.
Your basket is kept in your own browser on your device until you check out. It is not sent to us before then.
Our legal basis
We rely on your consent to reply to your messages, on the performance of a contract to fulfil your order or membership, on our legal obligations for Gift Aid and accounting records, and on our legitimate interests to run the Society.
Who we share it with
We do not sell your information. We share it only with the service providers that help us run the website and the Society:
- PayPal for payment processing
- Resend to send emails from the website
- Cloudflare to host the website
- Google reCAPTCHA to protect our contact form from spam
- HMRC when we claim Gift Aid on your payments
We may also disclose information where the law requires it.
How long we keep it
We keep messages for as long as we need them to deal with your enquiry. We keep order, membership, donation and Gift Aid records for as long as we are required to for accounting, tax and HMRC purposes, and then delete them.
Your rights
Under UK data protection law you can ask us to give you a copy of the information we hold about you, correct anything that is wrong, delete your information, or restrict or object to how we use it. To make a request, please contact us. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
